1. Scope of  Privacy Policy

This privacy policy informs about how VIKING manages the information we obtain from our customers, website visitors, and/or other users of our various services and functionalities.

The privacy notice also applies to any personal data gathered by VIKING, in relation to both visits physically in a VIKING office, to our website, our use of social media, or when you are in a business relation with VIKING. 

VIKING LIFE-SAVING EQUIPMENT A/S acts as the data controller in respect of the processing of your personal data. 

2. Purposes

We never collect personal data unless it is given to us when you are registering, buying or participating in a survey. 

At VIKING we process personal data in order to take steps to provide or assist with your requests when you generally communicate with us for example when you utilise a contact form on any of our websites, contact customer service, send an email, engage in a chat, make a phone call or communicate with VIKING in any other way. 

The personal data that could be collected includes, but is not limited to: 

  • Full name, address and zip code. 
  • Email address and job title.
  • Gender, age and country of origin/nationality.
  • Interest, attitudes and possible participation in an event or conference. 

The purpose of processing such data personal is for example: 

  • Handling of your inquiry, such as complete purchases or services
  • General communication
  • Analysis and statistics 

VIKING processes your personal data in accordance with applicable laws, and the legal basis for the processing of your personal data is either a contract, your consent, legal obligation or VIKING’s legitimate interest. 

The information is also used to customize the site to your, and other users’ preferences. These may include studies and analyses aimed at improving our products, services, and technologies, as well as displaying content and advertising that are customized to your interests and hobbies. The information might also be used for VIKINGs internal knowledge sharing.  

3. Visiting VIKING's websites       

When you visit any of VIKING’s websites, we may process your personal data through cookies and pixels. This may include processing of personal data, e.g. IP address, access time and other website and browser information. Further, VIKING may collect your name and contact information if you use a request form on any VIKING website. 

Your personal data may be processed for the following purposes: 

  • Ensuring our website’s functionality
  • Statistics and analysis
  • Marketing
  • Remembering your settings and preferences

4. Visiting VIKING social media profiles

When you visit or engage with VIKING's social media profiles, we process your personal data. Depending on the platform, one or more of the social media sites listed below may act as a joint data controller with VIKING. As a result, both VIKING and the respective social media provider share responsibility for processing the personal data collected during your interactions with VIKING’s social media profiles. This implies that the current privacy policies of the respective social media platforms apply, along with your individual privacy settings and personal interactions.

VIKING has social media profiles or pages on the following social media platforms: 

  • LinkedIn Ireland Unlimited Company (see LinkedIn’s Privacy Policy)
  • Instagram (see Instagram’s Privacy Policy)
  • TikTok (see TikTok's Privacy Policy)
  • Meta Platforms Ireland Ltd., namely Facebook and Instagram (see Meta’s Privacy Policy)
  • Google (see Google's Privacy Policy)

5. Contact at trade events

When we are at trade events and similar, we can collect your data in order to improve our services and sale. Therefore, we may ask participants to provide feedback. Additionally, a follow-up email will be sent after the event, which may include information about the specific services. As a result, personal data is processed in this context. For such purposes, VIKING may collect, process and store your name, phone number, address and email address. 

Our purposes are to be able to communicate directly related to you regarding e.g. sales, follow ups and further dialogue in accordance with your interests. 

6. At VIKING locations

When you visit our company's physical locations and register in our guest system, we collect and process your personal data to ensure a secure and efficient visit. The information we gather may include your name, contact details, phone number and the purpose of your visit. Our purposes for processing your personal data are to manage and document visitor access, to maintain security, crime prevention and safety within our premises as well as enable a secure evacuation of a building in the event of e.g. a fire.

7. Applying for a job at VIKING

When you apply for a job at VIKING through our online application system, we process your personal data in accordance with our recruitment process. VIKING may collect, process and store the following types of your personal data: 

  • Personal data which you have disclosed in your job application (e.g., birth date) and resume (CV) as well as any attachments, including information regarding your previous jobs, activities, competencies and/or performance.
  • References from your previous and/or current employers.
  • Additional information you will provide in relation to the recruitment process.
  • VIKING may administer a personality test and/or logical test. 

Your personal data will be processed for the purpose of assessing whether we can offer you a position at VIKING. We process your personal data on the following basis: 

  • Contractual obligations: We process your personal data for the purpose of carrying out measures concerning potential employment at your request prior to entering into an employment contract agreement.
  • Legitimate interests: We may process your personal data based on our legitimate interests in carrying out assessments of whether we want to hire you.
  • Consent: Only when no other legal basis can be applied, VIKING may ask for your consent to process your personal data, for example if we collect references from your previous and/or current workplace if you have consented to this.
  • Legal obligation: We may process personal data only, if necessary, with regards to for example our obligations under employment and social security and social protection law.  

If you are offered a position at VIKING, your application and any additional relevant personal data collected during the recruitment process will be stored in your employee file. If you are not offered a position, we will retain your application and any additional personal data collected during the recruitment process for six months after our decision, after which the files will be deleted.

If you are offered a position at VIKING, we will be contractually obligated to process additional personal data beyond what is mentioned above. This includes your address, working hours, salary information, date of employment and other relevant details. This process is necessary to prepare your employment contract in accordance with our legal obligations.

8. Sharing, transfer and disclosure of personal data

Your personal data is generally not disclosed to a third party without your consent. However, with reference to and in connection with the purposes mentioned above, we may give third parties access to your personal data.

When necessary, VIKING may disclose your personal data to, for example, service providers and advisors (“third parties”) to fulfil its obligations towards you. Contracted service providers can for example be consultants, haulers, shipping lines or public authorities. Furthermore, this could also be IT suppliers or other suppliers that process your personal data on behalf of us. Such suppliers will only process your personal data in accordance with our instructions and data ethics, ensuring appropriate compliance with the agreed-upon data processing agreements. 

We may disclose personal data processed in connection with your use of our websites, your participation in events or when you receive newsletters, including marketing communications or similar. Upon your request, where appropriate, VIKING can provide you with the identity of such third parties.

In some cases, we can pass on your personal data to our affiliate companies and legal entities being a part of VIKING globally to the extent that it is reasonably necessary to the purpose listed in this privacy policy. 

9. Cookies

When visiting our website, data may be collected via cookies, for example. User behavior, browser type, unit category, information on your preferred settings as well as IP address. 

Personal data will be processed for marketing purposes on the basis of consent. 

Processing for other purposes will take place on the basis of the balancing of interests rule. This contains purposes such as statistics in respect of website visits, optimization of functionalities, etc.

10. Compliance Hotline  

If you make a report to our Compliance Hotline (whistleblower function) or in some other manner are in contact with our Compliance hotline, we might process your personal data, including potentially sensitive and/or confidential data, only if absolutely necessary, with the purpose of investigating a reported concern and/or reported violation of for example, but not in particular, rules, guidelines, legislation, laws, governing principles and/or internal policies such as, but not limited to, Code of Conduct and human rights. We process such personal data on the following legal basis: 

  • Legitimate interests: We may process your personal data based on our legitimate interests in carrying out assessments of reported concerns.
  • Consent: Only when no other legal basis can be applied, VIKING may ask for your consent to process your personal data for example if we need to proceed in a certain direction with the investigation of a reported concern and only if you have consented to this.
  • Legal obligation: We may process personal data only, if necessary, with regards to for example our obligations, current and applicable legal obligations under national law.
  • Protection of vital interests: If deemed necessary we will process personal data in connection with the investigation based on this legal basis.
  • Public personal data: If necessary personal data is processed on this legal basis if the personal data is made public by the data subject him/herself.
  • Legal claims: If we need to protect our company or other interests, we will process personal data on this legal basis.

11. Storage and deletion 

Your collected data will be stored until they are no longer necessary for the purpose(s) for which they were collected or processed.

However, special legislation, including the Danish Consolidated Bookkeeping Act (bogføringsloven), the Act on Measures to Prevent Money Laundering and Financing of Terrorism and the Danish Limitation Act (forældelsesloven), may entail an obligation or right for us to store such data for an extended period of time. The data may also be processed and stored for a longer period if it is anonymised.

If the processing of your personal data is based on your consent, the personal data will be deleted when you withdraw your consent at the latest, unless applicable law requires us to store the personal data for a longer period.

12. Rights to your data 

As the data subject, you have certain rights in relation to our processing of your data, with certain exceptions set out in applicable law. The rights include the following: 

  • Request access to your personal data. You have the right to ask VIKING for information about or access to the personal data we process about you. However, there are some exemptions, which is why you will not always be permitted hereto.
  • Request rectification of your personal data. You can have your personal data corrected, if accurate or incomplete.
  • Object to the use of your personal data. You can request that we no longer use your personal data. This only applies in certain circumstances, and we may not need to stop the use of your personal data if we can give legitimate reasons to continue.
  • Request erasure of your personal data. You can request the erasure of your personal data in certain circumstances.
  • Request the restriction of the use of your personal data. You can request that we only use your personal data in limited circumstances, including with your consent.
  • Request portability of your personal data. You can receive a copy of your personal data that you have provided to us or request to transmit such personal data to another data controller.
  • Withdraw your consent. You can always withdraw your consent at any time, by contacting us. However, this does not affect our right to use personal data obtained prior to the withdrawal of your consent, or our right to continue parts of the use based on other legal bases than your consent. 

At any point, you can lodge a complaint with a supervisory authority. Any complaint about our data ethics can be brought before the Danish Data Protection Agency.

13. Security, updating and correcting information 

Security 

In accordance with the Data Protection Act, personal data is kept secure and confidential. We store your information on servers with limited access, located in controlled facilities. Our security is checked regularly to determine if our user information is being properly managed, while bearing in mind your rights as a user.  

However, we cannot guarantee 100 percent security of the transmissions conducted over the Internet. This means that there can be a risk of an unauthorized party illegally gaining access to your personal data as it is being sent and stored electronically between the user and our servers. Therefore, submit your personal data at your own risk. Personal information is deleted or made anonymous continuously as is necessary.

Updating and correcting of Privacy policy 

We reserve the right to update and amend this privacy policy in accordance with new legislation, new technological solutions or to improve the website and our handling of your data. When these policies are changed, the ‘last updated’ date at the top of the page will reflect the amendment. 

In the case of substantial changes, we will notify users in the form of a visible update notice on our corresponding websites.
